Connecting to Calendly

Connect your Calendly account to TAB so your agent can share booking links right inside conversations.

What your agent can do with Calendly​

Once connected, your agent can:

Share your booking link when it's actually useful

  • Detect when a customer wants to schedule, book, or arrange a meeting
  • Reply with your Calendly scheduling URL so the customer can pick a time
  • Match a specific event type (e.g. "30 Min Meeting") if the customer asks for one

Your agent will not spam the link in every reply — it only shares it when the customer's intent is clearly about scheduling.

Booking happens on Calendly

This is the link-first version of the integration. After your agent shares the link, the customer completes the booking on Calendly's hosted page — they pick the time, enter their info, and Calendly creates the event in your calendar.

What you need​

  • A Calendly account (any plan)
  • A TAB account with at least one agent

Setting up Calendly​

Calendly is connected at the workspace level — once you connect your account, any agent in your workspace can share its booking link.

Step 1: Start the connection​

  1. Navigate to your agent's Integrations page
  2. Find the Calendly card and click Connect

Step 2: Authorize TAB​

  1. A Calendly authorization page will open in a popup
  2. Sign in with the Calendly account whose booking link you want to share
  3. Review the permissions TAB is requesting
  4. Click Authorize to grant access

After authorization, your account details (email, scheduling URL, event types) are saved to your workspace.

Step 3: Enable the booking capability for your agent​

  1. On the Integrations page, the Calendly card now shows Configure and a toggle
  2. Toggle the integration on to activate it for this agent
  3. Click Configure to open the Calendly capabilities page
  4. Turn on Share Booking Link and click Save

Step 4: Test it​

  1. Open the Playground for your agent
  2. Try asking:
    • "Can I book a call with you?"
    • "I'd like to schedule a meeting"
    • "How do I set up a 30 minute meeting?"
  3. Your agent should reply with your Calendly scheduling URL

Managing your Calendly connection​

Pausing the connection​

You can pause Calendly without removing the authorization. When paused, your agent won't share the booking link, but your account stays connected and can be re-enabled at any time.

To pause or resume:

  1. Go to your agent's Integrations page
  2. Find the Calendly card
  3. Use the toggle switch to turn the connection on or off

Disabling specific capabilities​

If you want the integration to stay connected but want the agent to stop sharing the booking link:

  1. Open the Calendly Configure page on the agent
  2. Toggle Share Booking Link off
  3. Click Save

Removing the connection​

To fully remove the Calendly connection from your workspace:

  1. Go to the Global Integrations page
  2. Open the Calendly card
  3. Find your connected account and click the delete icon
  4. Confirm

This revokes TAB's access to your Calendly account. Any agent that was using the booking link will stop sharing it. You'll need to re-authorize if you want to reconnect later.

Switching to a different Calendly account​

The OAuth popup uses whichever Calendly account is currently signed in on your browser. To connect a different account:

  1. Open calendly.com/logout in a new tab and sign out
  2. Sign in with the Calendly account you want to use
  3. Come back to TAB and reconnect

Tips for a better booking experience​

Set up your event types in Calendly first​

Before connecting TAB, make sure your event types in Calendly are configured the way you want — names, durations, intake questions, calendar integration, buffer times. Whatever shows on your scheduling page is what your customer will book into.

Add booking-specific guidance in your agent's instructions to control how proactive it is. For example:

If the customer asks a sales question that needs a real conversation
(pricing, custom plans, partnership), offer to book a discovery call
using the Calendly booking link.

If they just have a product question, answer it first and only offer
the link if they ask to talk to a human.

Use a clear event type name​

When the customer asks for a specific kind of meeting ("a quick intro call", "a demo"), your agent matches against your Calendly event type names. Naming your event types clearly — Quick Intro Call, Product Demo, 30 Min Sales Call — makes it easier for the agent to pick the right one.

Troubleshooting​

The agent shares the link too often

  • Edit your agent's instructions and explicitly tell it when not to share the link (for example, after greetings or generic questions)

The agent never shares the link

  • Open the agent's Calendly Configure page and confirm Share Booking Link is enabled and saved
  • Confirm the Calendly card toggle on the Integrations page is on
  • Test phrases that clearly express booking intent: "I want to book a meeting", "can we schedule a call?"

Connection fails or the popup closes immediately

  • Make sure you're signed in to the correct Calendly account in your browser
  • Allow popups for the TAB domain in your browser settings
  • Try again — the OAuth flow occasionally needs a second attempt if your session was stale

The link in the chat goes to the wrong page

  • Your Calendly default scheduling URL is what's shared if the customer doesn't ask for a specific event type
  • To change which page that points to, update your default scheduling URL in your Calendly account settings, then disconnect and reconnect Calendly in TAB so the new URL is saved
