Uploading Documents

You can train your agent with documents you already have. Here's how to do it right.

Supported file types

FormatExtensionBest for
PDF.pdfProduct catalogs, manuals, brochures
Word.doc, .docxFormatted guides, policies
PowerPoint.ppt, .pptxPresentations, slide decks
Excel.xls, .xlsxSpreadsheets, structured data
CSV.csvStructured data, lists
Text.txtPlain content, simple lists
Markdown.mdFormatted documentation
Images.png, .jpg, .jpeg, .gifVisual content with text

File requirements

  • Maximum size: 10MB per file
  • Text must be readable: Scanned images won't work unless they contain actual text
  • Clean formatting: Messy files produce messy training

How to upload

  1. Click Agents in the sidebar and select your agent
  2. Click the Data Sources tab
  3. Click the File tab
  4. Upload your file
  5. Wait for the upload to complete

You'll see the file in your list of data sources.

Tips for better results

Before uploading

Clean up your document

  • Remove headers, footers, and page numbers if possible
  • Delete irrelevant sections
  • Fix obvious typos

Check the content is accurate

  • Your agent will learn whatever the document says
  • Outdated info becomes outdated answers

Remove sensitive information

  • Don't upload internal documents with private data
  • Remove pricing you don't want shared
  • Check for confidential info

What makes a good training document

Good documents:

  • Product information sheets
  • FAQ documents
  • How-to guides
  • Policy summaries
  • Service descriptions

Documents to avoid:

  • Entire employee handbooks (too much irrelevant info)
  • Complex legal documents
  • Internal memos
  • Documents with mostly images

Organizing multiple documents

If you're uploading several files:

  • Give them clear names
  • Group related content
  • Remove duplicates
  • Consider combining small files

After uploading

  1. Review your uploaded files
  2. Make sure nothing's missing
  3. Click Train when ready
  4. Wait for training to complete (few minutes)

Common issues

Upload fails

Check:

  • File is under 10MB
  • File format is supported
  • Internet connection is stable

Try:

  • Saving as a different format (e.g., DOCX to PDF)
  • Breaking large files into smaller ones
  • Refreshing the page and trying again

Agent doesn't learn the content well

The content might be:

  • Too scattered (no clear topics)
  • Using jargon the agent doesn't understand
  • Conflicting with other training

Try:

  • Adding FAQs for specific questions
  • Rewriting key sections more clearly
  • Removing confusing content

When to use documents vs. FAQs

Use documents when:

  • You have existing content ready to go
  • The information is comprehensive
  • You want to quickly add a lot of knowledge

Use FAQs when:

  • You want precise control over answers
  • The document approach isn't working well
  • You have specific questions customers ask

Many users find a mix works best: documents for background info, FAQs for specific common questions.
