Customer Management Best Practices

Get the most value from your customer conversations with these tips.

Check customers regularly

Daily (if you're busy):

  • Quick scan for urgent issues
  • Look for hot sales opportunities
  • Check for frustrated customers

Weekly:

  • Review all new customers
  • Look for patterns in questions
  • Identify training opportunities

Monthly:

  • Analyze customer volume and trends
  • Review agent performance
  • Plan improvements

Identify follow-up opportunities

Not every customer needs follow-up, but watch for:

Sales opportunities

  • "I'm interested in buying..."
  • "What's the pricing for...?"
  • "Can I schedule a demo?"
  • Questions about enterprise features

Support escalations

  • "This didn't help"
  • "I need to talk to someone"
  • Complex issues your agent can't solve
  • Frustrated or upset customers

Feedback gold

  • "It would be great if you..."
  • "Why don't you have...?"
  • Feature requests
  • Complaints about your product/service

Follow up quickly

When you identify a customer worth contacting:

Same day is best The customer was just thinking about you. Strike while they're interested.

Reference the conversation "Hi, I saw you were asking about X. I wanted to personally help..."

Be helpful, not salesy They already engaged with your agent. Focus on solving their problem.

Use customer conversations to improve your agent

Find knowledge gaps

If customers keep asking things your agent can't answer:

  1. Note the questions
  2. Add FAQs or training content
  3. Retrain
  4. Check if it improves

Spot confusion

If customers rephrase questions or seem confused:

  1. Your agent's answer might be unclear
  2. Rewrite the relevant FAQ
  3. Test in the Playground

Notice tone issues

If conversations feel off:

  1. Check if the agent matches your brand
  2. Update instructions with better examples
  3. Adjust tone settings

Organize your workflow

Label or categorize mentally

As you review customers, think of them as:

  • Hot - Needs immediate follow-up
  • Warm - Good to follow up this week
  • Informational - Customer got what they needed
  • Improvement - Reveals something to fix

Export regularly

If you use a CRM:

  • Export weekly
  • Import to your CRM
  • Assign to team members
  • Track outcomes

Share insights

Tell your team what you learn:

  • "Customers keep asking about X"
  • "Our agent handles Y really well"
  • "We should add info about Z"

Track patterns over time

  • Are you getting more customers?
  • Seasonal patterns?
  • Marketing campaign effects?
  • What do customers ask most?
  • Any new topics emerging?
  • Old questions going away?

Channel comparison

  • Which channel gets more customers?
  • Different questions on each?
  • Different customer types?

Don't over-complicate

Keep it simple, especially at first:

  1. Check customers regularly
  2. Follow up on opportunities
  3. Note things to improve
  4. Make improvements
  5. Repeat

You don't need complex systems. Consistent attention beats complicated workflows.

Common mistakes

Ignoring customers

If you never look at them, you miss opportunities and can't improve your agent.

Only looking at problems

Also notice what works well. Reinforce good patterns.

Not following up

A customer who wanted help and didn't get it is a missed opportunity.

Over-engineering

Spreadsheets with 20 columns and complex tracking systems often go unused. Keep it manageable.

If you're overwhelmed

Getting too many customers to review?

Good problem to have!

Solutions:

  • Focus on high-intent customers (sales interest, escalation requests)
  • Export and use CRM workflows
  • Assign team members to review
  • Consider upgrading for team features
