Exporting Customer Data

Download your customer data to use in other tools, analyze in spreadsheets, or import to your CRM.

Why export?​

  • Import customer data into Salesforce, HubSpot, or other CRMs
  • Analyze conversations in Excel or Google Sheets
  • Create reports for your team
  • Back up your customer data
  • Share data with team members who don't have TAB access

How to export​

  1. Go to Customers in the sidebar
  2. Select the customers you want to export, or use filters to narrow down by agent, status, channel, or date range
  3. Look for the Export button
  4. Choose your export options (see below)
  5. Click to download

The export will download as a CSV file.

Export options​

Include messages​

When exporting, you can choose whether to include full conversation messages:

  • With messages - Detailed export with the full conversation history per customer
  • Without messages - Summary export with one row per customer (name, email, channel, date)

Timezone​

Select your timezone so timestamps in the export match your local time.

What's included​

The export typically includes:

  • Customer name
  • Email address
  • Phone number (if provided)
  • Date and time of conversation
  • Channel (website, WhatsApp, Instagram, Messenger, or Salla)
  • Conversation content or summary (if messages included)

Opening the file​

In Excel​

  1. Double-click the downloaded CSV file
  2. It opens in Excel automatically
  3. Data appears in columns

In Google Sheets​

  1. Open Google Sheets
  2. Click File > Import
  3. Select your CSV file
  4. Choose import settings
  5. Click Import

Other tools​

CSV files work with most spreadsheet and data tools. Just open or import the file.

Filtering before export​

If you only want certain customers:

  1. Apply filters first:
    • By agent - Select specific agents
    • By status - Filter by customer status
    • By channel - Website, WhatsApp, Instagram, Messenger, or Salla
    • By date range - Custom start and end dates
  2. You can also select specific individual customers
  3. Then export

The export will include only the filtered results.

Using exports​

Import to CRM​

Most CRMs accept CSV imports:

Salesforce:

  1. Go to the object (Leads or Contacts)
  2. Use the Import wizard
  3. Map your CSV columns to Salesforce fields

HubSpot:

  1. Go to Contacts
  2. Click Import
  3. Upload your CSV
  4. Map the columns

Create reports​

Use the data for:

  • Weekly customer counts
  • Popular questions analysis
  • Channel comparison
  • Conversion tracking

Team sharing​

Share the CSV with team members who need the data but don't have TAB access.

Export limits​

Depending on your plan, there may be limits on:

  • How many customers you can export at once
  • How far back you can go

Check your plan details or contact support if you hit limits.

Privacy considerations​

Exported data contains customer information. Handle it responsibly:

  • Store securely
  • Share only with people who need it
  • Delete when no longer needed
  • Follow your privacy policy

Scheduled exports​

Currently, exports are manual. Scheduled automatic exports are coming in a future update.

Troubleshooting​

Export not working​

  • Check your internet connection
  • Try a smaller date range
  • Clear browser cache and try again
  • Try a different browser

File won't open​

  • Make sure you have Excel, Google Sheets, or a similar tool
  • Check the file downloaded completely
  • Try downloading again

Data looks wrong​

  • CSV uses commas to separate columns
  • If data looks merged, check your spreadsheet's import settings
  • Try importing with different delimiter settings
